ClaimTrail for Movers

“Which crew moved us?” answered in five seconds

Moving company damage claims, logged before the customer calls

ClaimTrail is a damage claim log for small moving companies that keeps the item, the photos, the crew on the job, the claim status and the outcome of every customer claim in one record. Crew leads report damage from the truck the day it happens; the office takes it from there.

For local and regional movers with 3 to 30 people. Nothing to pay for 14 days.

The file today

Your claim file is a text thread, an inbox and a spreadsheet tab

The crew lead was the only one who saw it happen, and nobody wrote it down on the day. A week later the office is guessing which truck it was, the photos are in three places, and the call back has slipped. Months on, nobody can tell that the same crew keeps chipping glass tops.

Customer, day 4

Hi, the glass top on our dining table has a chip in the corner. It was fine before the move.

Office

So sorry! Which day did we move you? I'll check with the crew.

Office to Marcus

Did you guys move the Whitfields on the 3rd? Anything happen with a glass table?

Marcus, crew lead

think that was truck 1?? not sure. might have been nicked already

Customer, day 11

Following up again. Nobody has called me back.

What changes

The report comes from the truck

Crew leads log damage and add photos on moving day, on the job they're already on. The office hears about the chipped dresser before the customer calls.

A status and a date on every claim

Newly reported, under review, waiting on the customer, settled. Put a follow-up date on a note and the claim shows on the dashboard that morning.

The pattern behind repeat claims

The crew report counts claims per crew lead per 10 jobs and by item type, so the glass tops and pianos that keep coming back stand out.

Taking the claim

What should a moving company damage claim form include?
The customer and job (job number, move date, from and to), the damaged item and what kind of item it is, a plain description of the damage, photos, who reported it and when, and later the resolution: repair, replacement, cash settlement, insurer referral or denial, with the amount. A ClaimTrail claim holds exactly those fields, so the form and the log are the same record.
How long does a customer have to file a moving damage claim?
For interstate household goods moves, federal rules give customers at least nine months after delivery. Local and intrastate movers usually set their own window in their terms, often 30 to 90 days. Set your window in ClaimTrail and any claim reported after it is marked Late.

Working it through

What does a good moving company claim process look like?
Log the claim the day it's reported, tie it to the job so you know which crew was there, gather photos, decide (repair, replace, settle, refer to the insurer or deny), tell the customer, and close it with the outcome written down. In ClaimTrail every claim moves through reported, under review, waiting on customer, approved or denied, then resolved and closed, and notes carry follow-up dates so calls back don't slip.
The moving company damaged furniture: who decides what gets paid?
You do. ClaimTrail records the decision and the amount for your files and your insurer; it doesn't process payments, set valuation coverage or give legal advice.

Your crew and your account

Can a crew lead see other crews' claims?
No. A crew lead sees only the jobs they were on, and the claims, photos and notes on those jobs. They can edit the item and damage details on reports they filed themselves, nothing else.
Is there a free trial?
Yes: 14 days, no card. When it ends your claims stay readable and exportable until you pick a plan.
